Accounts Receivable Coordinator

The Opportunity

Eastern Ontario’s largest meeting facility, the DEV Hotel and Conference Centre, is seeking to fill the position of Accounts Receivable Coordinator, reporting to the Controller. The AR Coordinator will provide sound credit management through the appropriate obtaining, review and verification of credit applications, reviewing/preparing and obtaining deposits as required in concert with Sales / Catering staff.  Also, to ensure the accurate and timely billing of all accounts once transferred to accounts receivable.  The role is responsible for the Daily Revenue Reconciliation including Cash and Credit Card balancing, managing guest ledger and accounts receivable, settling account balances and send out AR invoices within 48 – 72 hours. The AR Coordinator will also provide back-up support for payroll processing.

Job Responsibilities

  • Processes accounts receivables invoices, matching BEO’s with the invoice, post in the system in a timely manner, sets up new clients in the system and maintains client files
  • Undertake a proactive approach to collections through timely billing practices and diligent follow up of delinquent accounts, including researching billing enquiries and solving billing problems as required and the documenting problem accounts, maintaining a log of all collection activity
  • Record incoming payments, post and apply to the appropriate invoice numbers
  • Lead weekly and monthly Credit and Account Receivable meeting
  • Issues statements to clients in a timely manner according to the set schedule or as required.
  • Assists the Controller in preparing month-end closings i.e. cash count float and preparation of account receivable accruals.

Qualifications & Experience

  • College diploma in business administration, bookkeeping or equivalent combination of education and/or experience
  • Three (3) years of accounts receivable experience
  • Experience with payroll systems (ADP) is an asset
  • Knowledge of ESA, CRA payroll regulations, and payroll best practices, is an asset
